Import attendees from Excel or CSV
Create a group or an event and load your attendee list straight into QRACCESS. Map any column in the file to a field, let QRACCESS generate the QR codes for check-in — or import QR codes issued by another system and keep validating them at the door.
Columns and field mapping
- XLSX and CSV files are supported; for CSV you set the separator.
- Every column in the file can be mapped to a field of the group.
- Mark the Email and Mobile columns with their field type — that is what lets you send emails or SMS to attendees later.
- Selector fields can carry predefined values and translations.
Importing a spreadsheet is one of three ways to get attendees in. If you would rather have people sign themselves up, pair it with an online registration form; to push attendees automatically from your CRM or ticketing platform, see the attendee API.
External QR codes and duplicates
Moving over from another system? Tick the external QR option when importing and QRACCESS will validate the codes you already issued — no need to resend tickets. When the file contains QR codes that were imported before, you decide what happens to the duplicates: ignore them, or replace them to update the data attached to each code.
- Single-use QR codes, or a defined number of scans — including unlimited per day.
- The QR code acts as the identifier: re-importing a file updates the attendee data attached to each code.
- Large files import in the background, with a progress indicator.
- You get an email notification when a long import finishes.
- The attendee list keeps the order of the imported file.
What "replace" can also update
When you re-import a file containing existing QR codes and duplicate handling is set to "replace", two extra options decide what gets updated besides the attendee data.
Update validity data
Also updates the validity of each QR code to what the import states — single use, or the number of scans. Useful when you reuse a list and need to change how many times each code can be scanned.
Reactivate deactivated codes
If a QR code in the file had been deactivated in the dashboard, replacing it switches it back on. That lets you recover the list from a previous edition of your event without reactivating attendees one by one.
