Creating scanner users for door staff

A scanner user lets hosts or outside staff validate QR codes without getting access to the rest of the event administration.

When to use scanner users

  • When the door staff only need to scan QR codes.
  • When you would rather not hand over the full attendee data of the event.
  • When each scanner has to be identifiable in the statistics.
  • When an agency runs many events and reuses the same door staff.

The recommended sequence

  1. Go to the Scanners menu.
  2. Create the scanner user with an email address and a password.
  3. Go to Group/Events > Event > Scanners.
  4. Assign the scanner to the event it belongs to.
  5. Choose which fields are shown in the app and in the history.

A scanner user only sees the events it has been assigned to. Creating it does not give it access to anything: the assignment is the step that opens the door, and removing the assignment closes it again without deleting the account.

Good practice

  • One account per person, not one shared by the whole team: the statistics per device are only useful if each scan can be traced back to somebody.
  • Assign the scanner to the event shortly before it starts, and unassign it when the event is over.
  • Show at the door only the fields the door actually needs. A name and a ticket type are usually enough; a phone number or an ID document rarely is.
  • If an agency reuses the same staff across events, keep the accounts and change the assignment.
