Setting up an event in QRACCESS

The Event button is where you decide how the app and the door behave: general details, alerts, mode, how scans are counted, scanners, columns, statistics and maintenance.

What each section holds

General: dates and shifts

The basics the app shows when somebody picks the event.

  • Enter the name and the location of the event.
  • Set the start date and time, the end date and the time zone.
  • For events that sell tickets, create the sessions or shifts as well — one-off or repeating — each with its own sales cut-off (see the guide on selling tickets).

Counting

Decides what the app records on each scan.

  • Choose the mode: entries only, entries and exits, or continuous QR scanning.
  • Pick online or offline mode depending on the coverage at the venue.
  • Set the scanner to show the scan history or to run full screen.

Alerts

What the door staff see when they validate each QR code.

  • Turn on the repeated-scan alert and, if you want it, the audible alert.
  • Add a confirmation pop-up before the scan is recorded.
  • Control exit without a previous entry, and outright rejection.

Scanners

Accounts for the door staff, with no administration rights.

  • Create scanner users: sub-accounts with limited permissions for the people at the door.
  • Assign them to the event so they only see what they need.

Display options

You can turn on or off which fields are visible in the app and in the history, and you can change the order they appear in. Show the door only what the door needs to decide: a name and a ticket type usually answer the question, and everything else is data left on a screen in a corridor.

Maintenance: archiving a finished event

Under Maintenance you will find «Archive and keep finished event». When you use it, the attendee data and the scans of the event are archived — they are not deleted.

  • Archived data stays readable from the dashboard.
  • Archived scans are consulted alongside current ones in the records section (see recording entries and exits).
  • You can also clear the daily records whenever you need to.
